Most couples see their wedding flowers for the first time on the day of their wedding.

They walk into the ceremony. The arch they imagined for months is finally standing in front of them—filled with peonies, garden roses, and soft trailing greenery. Then, they step into the reception. Tables glow with candlelight. Florals reflect their palette perfectly. Everything feels complete.
However, what most couples don’t see is everything that happens before that moment.
I’m Christine, founder and lead designer of Plant Girl Floral. We’ve designed florals for over 400 weddings across Newport, Rhode Island—including venues like Castle Hill Inn, Belle Mer, Rosecliff, OceanCliff, The Chanler, The Bohlin, and Gardiner House.
And every single one begins the same way:
with a conversation—and a blank page.
Phase One: Discovery Consultation
Before choosing a single flower, we focus on understanding your wedding as a whole.
Of course, we discuss color palettes. However, more importantly, we explore how you want your wedding to feel.
- Do you want something soft and romantic?
- Clean and modern?
- Or layered and full of movement?
At the same time, we look at how your venue influences your design. For example:
- A Rosecliff wedding may highlight architecture and scale
- A Belle Mer wedding should complement the ocean—not compete with it
- A Castle Hill ceremony calls for softness that moves with the wind
By the end of this conversation, we define:
- Overall atmosphere
- Floral scale and density
- Key focal areas
- Guest experience
This step lays the foundation for everything that follows.
Phase Two: Concept Development
Next comes the creative direction.
Before pricing anything, we build a vision first. This is where experience truly matters.
We:
- Pull curated inspiration imagery
- Design key focal pieces (arch, tables, installations)
- Align florals with the venue’s natural aesthetic
For instance:
- Oceanfront venues require restraint and balance
- Grand ballrooms demand height and fullness
- Tent weddings rely heavily on candlelight and layering
At this stage, we create a mood board and concept overview. This ensures we are aligned before moving forward.
Phase Three: The Proposal
Clarity is everything.
Instead of vague descriptions, every item is clearly defined. For example:
Not just “centerpieces”
But:
Low garden-style arrangements in blush, ivory, and champagne with garden roses, ranunculus, and trailing jasmine vine.
Because of this, couples always know exactly what they’re receiving.
Each proposal includes:
- Detailed floral descriptions
- Investment breakdown (including labor and logistics)
- Seasonal notes
- Optional upgrades
- Production and installation timeline
Afterward, we meet again to review everything together and refine details.
Phase Four: Sourcing Strategy
One of the most common questions we receive is:
“Where do your flowers come from?”
The answer depends on three things:
- Season
- Color palette
- Design style
We source from:
- Premium wholesale partners
- Specialty growers for unique varieties
- Local New England farms (when in season)
Importantly, sourcing happens weeks in advance.
If something becomes unavailable, we don’t improvise last minute. Instead, we present thoughtful alternatives that preserve the design.
No surprises. Ever.
Phase Five: Production Week
This is where everything comes to life.
Flowers typically arrive 2–3 days before the wedding. From there, our team begins:
- Hydration and conditioning
- Stem preparation
- Sorting by design category
Our studio becomes fully structured:
- Ceremony pieces
- Reception centerpieces
- Bar and accent florals
- Bud vases and cake flowers
We also build strategically:
- Large installations first
- Delicate pieces last
Meanwhile, temperature control is constant. Some flowers need warmth to open. Others must stay chilled.
By wedding morning, everything is labeled, organized, and ready.
Phase Six: Installation Day
This is where experience truly shows.
Each Newport venue has different logistics:
- Load-in timing
- Access points
- Vendor coordination
Because we know these venues well, we move efficiently and with precision.
We install using a mapped plan:
- Every piece has a placement
- Every team member has a role
Then, I personally walk through the space. I adjust anything that doesn’t feel right in real lighting.
Only when everything is perfect do we step away—so you can walk into your day exactly as envisioned.
Phase Seven: Breakdown & Beyond
After the celebration, we return for breakdown.
We:
- Remove all florals and rentals
- Restore the space
- Coordinate returns
Additionally, we encourage floral donations when possible. Many couples choose to share arrangements with local hospitals or organizations.
It’s a beautiful way to extend the life of your flowers.
Why This Process Matters
Here’s the truth:
Beautiful flowers alone are not enough.
Without the right process:
- Designs can feel out of place
- Installations can fall flat
- Expectations can be missed
When you invest in a luxury wedding florist, you are investing in:
- Planning
- Communication
- Execution
The process is what ensures everything feels seamless.
FAQ: Newport Wedding Florals
How early should I book my florist?
Ideally, 12–18 months in advance—especially for Newport weddings in peak seasons.
Do you only work with large weddings?
We require a $10,000 minimum. However, within that, we design both intimate and large-scale events with the same level of care.
Can I see my flowers before the wedding?
In some cases, yes. Depending on timing, we can accommodate production week visits.
Can I make changes after booking?
Absolutely. Design evolves. We refine details up until about one month before your wedding.

Absolutely—this fits beautifully in the Production Week section, because it highlights your client experience while the flowers are actually coming to life.
Here’s the revised section with that added in a stronger spot:
Phase Five: Production Week
This is where everything begins to come to life.
Flowers typically arrive two to three days before the wedding. From there, our team begins the careful work of hydrating, conditioning, and preparing every stem. Each bloom is sorted by design category so the studio can move with structure and precision.
Our production week is thoughtfully organized by floral element:
- Ceremony pieces
- Reception centerpieces
- Bar and accent florals
- Bud vases and cake flowers
We also build strategically. Larger installations and structural pieces are created first, while more delicate items are completed closer to delivery. At the same time, temperature control is constant. Some flowers need warmth to open beautifully, while others must remain chilled to hold their shape.
One of the things our couples love most is that they do not feel removed from this part of the process. As their wedding flowers are being created, we offer text updates, FaceTime calls, and even in-person visits whenever possible. We want our couples to feel connected, excited, and completely at ease as everything begins coming to life.
A Personalized Experience, Even During Production
As your wedding flowers are being created, we offer text updates, FaceTime calls, and even in-person visits whenever possible. It is one of the ways we help our couples feel connected to the process and fully at ease leading up to the wedding day. 🌸
